How to use the Performance and Reporting page and the dashboards contained within
| IN THIS TOPIC |
Purpose
To describe how to use the Performance and Reporting functionality in an effort to ensure quality and optimize your operation.
Best Practices
Flexe recommends the following best practices in order to most effectively support operations.
Daily Responsibilities
Start of Shift
- Review the Daily Summary page for the previous day
- Investigate unresolved items
- Review the Inbounds section for LPNs that were received but not putaway. Select the number, then select Drill for more details.
- Review the Outbounds section for shipments that are/were due but not yet completed. Select the number, then select Drill for more details.
- Immediately seek to reconcile backlog items - if Flexe support is needed reach out to the appropriate Flexe contact or the ops distro or Flexe support team (support@?)
On-going
- Monitor progress of outbound orders using the Daily Summary
- For parcel, ensure all orders submitted before cut-off time are shipped systemically and physically same day
- For freight shipments, ensure carriers and appointment times are secured - reach out to Flexe/customer if order is scheduled to ship but no appointment has been set yet
- Notify Flexe if outbound shipments that are expected to ship for that day are at risk of missing their ship by date.
- Monitor progress of inbounds using the Daily Summary
- Monitor inbound to ensure on-time putaway is achieved.
End of Shift
- Investigate and action aging inventory using the Alerts
- Ensure outbound staging lanes are systemically and physically cleared of material expected to ship for that day
- Ensure inbound staging lanes are systemically and physically cleared of material received in and put away from that day
Weekly
- Review Warehouse KPIs to ensure SLAs are being adhered to.
- Use the Drill function to troubleshoot any discrepancies.
- Ex. If you want to investigate why your on-time shipping isn’t meeting SLA, use the Drill function on that data
- Review that list of shipments to identify a root cause and determine a solution.
Metrics
Below is a list of Key Performance Indicators and their definitions These metrics are available for review within the Performance and Reporting dashboards. For details, see the Process section. Refer to your contract/WSA for KPI targets as these vary with each operation.
| Metric Category | Metric Name | Definition |
| Inbound | Put Away on Time | Measures whether inventory was put away in an allocatable location, or QA, within 24 hours since the first receive into inbound staging. |
| Outbound | Parcel Ready to Load % | Percent of parcel shipments scheduled for a day that are staged (scanned at pack station, therefore ready to load) before the ship by time |
| Outbound | Freight Ready to Load % | Percent of freight shipments scheduled for a day that are in the outbound staging location before or on the pick up window end date |
|
Outbound |
Parcel Ship on Time % | Percent of parcel shipments scheduled for a day that have departed the warehouse on an outbound truck or trailer before the ship by time. |
|
Outbound |
Freight Ship on Time % | Percent of freight shipments scheduled for a day that are marked 'completed' (loaded onto the truck/trailer) in the system before or on the pick up window end date. |
| Outbound | Fill Rate % | Percent of all shipments that were fulfilled because WH had enough allocatable inventory on hand. |
| Inventory | Shrink % |
Net adjustments as a percentage of throughput Calculation = Net Adjustments / ((outbounds + inbounds)/2) |
|
Inventory |
Loc. Acc % |
% of "accurate" cycle count/location combinations, where accurate is defined as actual = expected for every line within a cycle count / location combination. This calculation is not weighted by the size of the error of the cycle count. |
|
Inventory |
Unit Acc. % |
Measures accuracy of cycle count results (actual unit quantity) compared with expected unit quantity. This calculation is weighted by the size of the error of the cycle count. |
Process
Overview
This functionality is visible to all users with the Reporting role assigned. For more information on that, refer to the User Management SOP.
To access these metrics, select Performance and Reporting from the left menu. This opens the Performance and Reporting page and displays the Warehouse KPIs dashboard, but there are 3 total dashboards available on this page:
- Warehouse KPIs: this provides visibility to performance metrics across inbound, outbound, and inventory management
- Daily Summary: this provides visibility to activity occurring today, including scheduled shipments and inventory levels
- Alerts: this provides a snapshot of potential aging inventory in locations such as inbound staging
At the very bottom of each page, there is an option to download all of this information into a one page document.
Downloading Data
Each box within the Performance and Reporting page has the option to download the data. This is useful when trying to review the performance of each metric over time, but not necessarily troubleshooting specific details relating to each metric. For that, see the next section about the Drill function.
Hover over each box to reveal an option to download the data
Hover over the filters applied to reveal them if selected
Select Download to reveal the option to download a record of each metric over the specified date range presented on the same basis you selected with the Time Granularity filter. Selecting Advanced provides the option of formatting the data for a CSV file and a row limiter in case you have more than 1000 rows.
Once the file is downloaded, open it to review a record of the requested metric over the specified date range.
Drill Function
Each metric within the Performance and Reporting page has the option to reveal the supporting data in how that metric was calculated. This is useful when troubleshooting specific details relating to each metric. For example, if you’d like to review your Freight Ship On Time percentage and what shipments are responsible for bringing down your average, you can select Drill on that number and reveal a list of shipments in the specified date range.
This data can be used to investigate why shipments were late or to troubleshoot in the case of discrepancies.
