Guidance on using the Full Physical Counts feature for full physical inventories in Flexe.
| IN THIS TOPIC |
The Full Physical Count option creates cycle counts for every countable location in the Flexe system for your warehouse. This feature is primarily used for warehouses with only one reservation in Flexe.
In addition to grabbing all locations automatically this feature can break the physical inventory count into smaller, component counts. These counts can then be assigned to multiple mobile users for counting. If entered, a reference ID can also be used to easily find and manage each individual count in the full physical inventory.
Note: Make sure your current system locations are correct in Flexe, as even empty and unused locations will be included in the counts.
Before you start
Make sure you've made all necessary preparations for the cycle counting process. Working on fulfillment or inventory tasks at the same time as a cycle count will invalidate that count, and you'll need to start over.
Here are some things to keep in mind:
- Plan to perform the count at the end-of-shift, beginning-of-shift or another time when no fulfillment activity is occurring.
- All inbounds and outbounds for impacted SKUs and/or locations should be temporarily paused.
- The system will automatically lock all locations and/or SKUs included in the count(s), so they cannot be used for fulfillment or inventory-related activities.

Creating a Full Physical Count
To create a full physical count in Flexe:
1. Open Cycle Counts from the left menu, then select Create Cycle Count.
2. From the New Cycle Count page, select Full Physical Count.
3. Enter the number of counts you want to create.
In the window that opens, use the Number of counts to create section to enter how many individual counts you want to create. It can be helpful to break up full physical counts by the number of mobile users who will be working on the count.
Once you enter a number, the system shows the estimated amount of locations that will be included in each individual count.
Note: You can have a maximum of 150 locations in a single count. If you exceed this maximum, you'll get an error message with guidance on how many counts you'll need to enter to proceed.
4. Enter the reference ID.
Use the Reference ID section to add a reference ID. This will help you keep track of the count throughout the process--especially if you entered a large number of counts to create in the previous step.
5. Select Create.
This takes you back to the main Cycle Counts page, where you can review all the counts you created. The status will show as Pending, and you can find the reference ID you entered under Reference.
The Created By column indicates who created the count, while the Created column shows the date and time the count was entered.
Once created, counts needed to be started so that they can be accessed on Flexe mobile devices for the physical counting process. To learn more, go to Starting Cycle Counts.
