How to edit details and information for open orders.
| IN THIS TOPIC |
To access and manage your orders in Flexe, select Orders from the left menu to open the Outbound Orders page:
Select an order or line to access all available information and make changes as needed.
Making Changes to Orders
Before you start
Make sure to check the shipment status for the order before making any changes. If the shipment status is "Confirmed," the warehouse has already started working on the order and any changes you make will not take effect.
You can find the shipment status by opening the Line Details for the order. First, open the order and select the relevant Line ID.
Then, look in the Shipments section for the Status of the corresponding shipment(s)--make sure this status is "New" before proceeding with any order changes.
Editing Order Details
Select Edit if you need to make changes to order details:
The Details panel on the right then switches to edit mode; you can use the text boxes to make changes to the following information:
- Reservation ID - Use this section to change the reservation associated with the order. Select the current reservation, then use the dropdown to choose a new one from your list of active reservations.
- Ship To - Use to update the address for the shipment
- Phone - Use to update the phone number for the shipment
- Email - Use to update the customer email address
- Carrier Service Type - Use to change the service type selected for the shipment
- Carrier Billing Account ID - If you use a third-party carrier billing account, use this section to update the account information. To learn more, go to Setting Up Carrier Accounts.
- Signature Confirmation - Use to specify whether a signature is required for the shipment upon receipt
- Shipping Instructions - Use to add special handling or shipping instructions for the shipment
Once you've entered all of your changes, select Save Changes.
After you submit your changes, the order and associated shipment(s) will be updated with the new information.
Editing Order Lines & Contents
You can adjust or make changes to order contents--including SKUs and item quantities--for new orders not yet in progress at the warehouse.
First, select the order you want to make changes to and open the relevant line details.
Select the Line ID(s) for the items you want to edit, then select the “edit” icon next to the information you want to change. Use the text box to enter your changes, then select Update:
After you submit your changes, any impacted shipments will be canceled and new shipment(s) with the updated items/item quantities will be generated. The order status will switch to "Unallocated" while this happens.
Note: If cartonization or order splitting logic is enabled for the order, more than one new shipment may be created based on packaging and item dimensions.
Upload Documents for a Shipment
Once an order has been allocated, you can upload the Bill of Lading (BOL) or other documents from the shipment details page.
To upload documents for a shipment:
1. Open the order details, then select the Flexe Line ID.
2. Go to the Shipments section and select the Flexe Shipment ID.
The shipment details page will then open in a new tab.
3. Go to the Documents & Labels section and select Upload Documents.
4. Choose the file you want to upload, then select Upload Document.
Select Choose File to select the file from where it’s saved on your computer. Once selected, the file name shows next to the Choose File button:
Use the dropdown menu under Document Type to select the type of document you’re uploading. You can also use the text box under Description to add notes about the document, as needed. Then, select Upload Document.
After the upload is complete, the document is automatically added to the Documents & Labels section in the shipment details:
Review Customer Reference Numbers
You can review the customer reference number associated with an order in the Shipment Details. These reference numbers can be very helpful if you're coordinating with a warehouse to track or follow up on specific shipments.
To find the customer reference number:
1. Open the order details, then select the Flexe Line ID.
2. Go to the Shipments section and select the Flexe Shipment ID.
The shipment details page will then open in a new tab.
3. Find the Customer Reference # under Shipment Details.
Go to the Shipment Details section at the top left, and look for Customer Reference #.
Note: If you already know the shipment ID, you can quickly access shipment details by opening Shipments from the left menu and selecting the shipment ID from the Fulfillment Shipments page.
