This guide explains how to manage user roles and access within the Flexe user interface (UI) for your reservation.

Before you start
- You need the Admin or User Management role to access the User Management page. For more details on user roles, see About User Roles.
- To access the User Management page, hover over your username in the top left menu and select User Management from the dropdown.
Managing User Roles
- Navigate to the Reservation Users section on the User Management page.
- Add or remove roles: Use the checkboxes next to each role to adjust user access. Select to add a role, and de-select to remove it. Note: The User Management role can only be modified by an Admin.
- Role limits: There are no restrictions on the number of users per role or roles per user. Overlapping roles are permitted.

Best Practice: Avoid changing user roles during active working hours to prevent potential disruptions to operations.
Deactivating Users
It is crucial to immediately deactivate users who have left the company to prevent unauthorized access and potential system interference. This is especially important for users with Manager or Operations roles, as they can impact transactions and data.
To deactivate a user:
- Locate the user in the Active Users section of the User Management page.
- Click Deactivate User in the Actions column next to the user's name.
Notes:
- The Deactivate User option is not available for busers (identified by "(admin)" next to their name). Contact support@flexe.com for assistance with removing Admin access.
- If you have the User Management role, the Deactivate User option is only available if you have this role across all active reservations. Otherwise, contact an Admin to deactivate the user or adjust your reservation settings.
Once deactivated, the user loses Flexe access and is moved to the Inactive Users section.
Reactivating Users
- Go to the Inactive Users section on the User Management page.
- Locate the user you want to reactivate.
- Click Re-activate User.
This action restores the user's access to Flexe.
